Office Manager/ Receptionist - Land Reform Activity

 

Tetra Tech International Development Services is currently accepting expressions of interest from qualified Office Manager/ Receptionist candidates for an anticipated 4-year Millennium Challenge Corporation (MCC)-funded Land Reform to Accelerate Agricultural Productivity (LRAP) initiative in Togo. Position to be based in Togo.

 

The LRAP initiative comprises four main objectives: (i) expand access to formalized land by identifying and legitimizing customary land rights; (ii) move the legitimized rights into the formal system; (iii) improve the formal system so that it effectively protects all legitimate land rights; and (iv) expand inclusive access to land by ensuring that recognition of women’s rights, already recognized in formal law, are fully incorporated into practice.

 

Position Description/ Summary:

The Office Manager/ Receptionist will be responsible for the organization and coordination of administration duties and office procedures. The office manager/ receptionist will be responsible for scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to staff on the Togo LRAP project team.

 

Responsibilities:

*Serve as primary liaison with office and leased residences landlords and management of the lease agreements and maintenance needs;

*Provide support to the Administrative Team and draft documents, communications, administrative meeting notes, and provide the support necessary for efficient preparation of documents, tables, etc.;

*Operate the telephone, channeling calls;

*Receive correspondence and keep a record by entering the data in a correspondence data base, fax documents and coordinate the delivery of institutional correspondence;

*Coordinate the use of the office meeting room;

*Manage the purchase of office cleaning commodities and office supplies, including evaluation, selection of vendor, purchase, inventory, and distribution.

 

Qualifications:

*Completion of secondary school education;

*Minimum of 3 years’ experience in an equivalent position;

*Experience working in a similar position for an NGO or an international organization is preferred;

*Knowledge of office administrator responsibilities, systems and procedures;

*Proficiency in MS Office (MS Excel and MS Outlook, in particular);

*Hands on experience with office machines (e.g. photocopiers and printers);

*Must have the ability to work effectively in a fast-paced, demanding environment;

*French language fluency (oral and written) is required; proficiency in English is preferred;

*West African nationals and Togolese citizens are strongly encouraged to apply.
