Administrative Officer – Forest for Water and Prosperity (Forest-Plus 2.0), India

Tetra Tech International Development Services headquartered in Arlington, VA is currently accepting expressions of interest from qualified Administrative Officer candidates for the recently awarded USAID India Forest for Water and Prosperity (Forest-PLUS 2.0) project.  Forest-PLUS 2.0 is a USAID program implemented by Tetra Tech in India.

 

The goal of the USAID Forest-PLUS 2.0 project is to improve management of targeted forest landscapes in India for enhanced ecosystem services and increased inclusive economic opportunities. The main office will be based in New Delhi and the project is scheduled for three years with the potential for two additional years.

 

Position Description/Summary:

The role of the Administrative Officer is to work in close coordination with operations and technical staff to provide administrative support under the direction of the Director of Administration and Finance. This position is based in the Forest-PLUS 2.0 Office in New Delhi.

 

Responsibilities:

* Maintain calendars and schedule appointments for staff members based on the knowledge of their activities, regularly scheduled meetings, and ad hoc meetings;

* Assist with preparation of documents, presentations and related material for meetings and conferences, particularly PowerPoint presentations, MS Word and .pdf document formatting;

* Conducting website searches for specific themes, reports and related reading and reference material;

* Schedule regular and ad hoc meetings, including reserving conference rooms or other appropriate facilities, preparing agendas, notifying participants, setting up equipment and assembling background and informational materials;

* Collate and organize reports and administrative documents for Chief of Party attention and follow up as appropriate.

* Record minutes of technical and team meetings;

* Manage front desk, route communications, and respond to routine requests for information;

* Receive and direct telephone calls and inquiries to appropriate staff members;

* Sort and distribute correspondence and other mail and prepare packages for courier pickup

* Assist periodically by making photocopies, sending faxes and e-mails, travel schedules, and receiving visitors;

* Maintain address, telephone, file and client visitor’s lists;

* Maintain files and photocopies documents;

* Contribute to team effort by undertaking additional tasks and responsibilities as requested.

* Assist in facilitating and recording petty cash advances and reimbursements to staff;

* Assist in tracking and arranging procurement of office supplies.

* Other tasks as designated by the COP

 

Qualifications:

* Bachelor’s Degree in a relevant field, such as business administration, or other related discipline.

* Minimum of 5 years’ relevant professional experience, with at least 3 years of experience in an equivalent position.

* Fluency in English, both written and spoken is required.

* Strong computer skills. Proficiency in Microsoft Office Suite is required

* Highly organized individual able to pay close attention to detail

* Experience on USAID-funded projects is highly preferred.

* Strong communication and interpersonal skills, ability to work with all levels and functions within the company.

* Requires an ability to work independently and as part of a team.

* Ability to work as a member of a team of professionals in a fast-paced and challenging environment.
