Travel Specialist

As a Travel Specialist you will work within all stages of the global travel process for home office and field staff, and you will play a critical role in the success of our firm and our associates.  This includes handling airline ticket purchases, re-ticketing and refunds, hotel and all other necessary travel arrangements for the firm’s associates and staff, consultants, and field project staff.  The role also includes researching and providing current airfare and travel costs for proposals and budgets and handling minor to complex crisis management situations involving staff evacuation and repatriation.

 

Responsibilities:
Handle all airline ticket purchases and re-ticketing for staff and consultants in accordance with the firm’s internal procedures, regulations and standards, and obtain necessary approvals prior to ticketing;
Ensure that TT ARD is obtaining the best costs and service on all domestic and international travel and communicate any risks to overhead funds to the Travel Coordinator;
Research and recommend best ticketing procedure for new and hard-to-reach areas, in collaboration with travelers;
Prepare and handle arrangements for the processing of visa applications for all of Tetra Tech ARD’s full-time staff and consultants, and assist staff with passport applications;
Ensure all overseas travelers receive pre-travel medevac insurance information and briefing information according to established Duty of Care standards;
Refer staff and consultants to local travel clinic or physician for vaccination information;
Research country entry requirements and make concise recommendations based on information from a cross-section of various sources;
Review and remain current on all USAID and US related travel regulations;
Share on-call responsibilities with members of the Travel and Security team which includes some evening and weekend work in emergency situations.

 
Essential Qualifications and Competencies:
Associate’s degree or higher in Travel Services, Business, or a related discipline required;
3+ years of customer service or direct client support experience in a professional office setting required;
High level of proficiency in MS Office, Adobe Acrobat, and other web and mobile travel applications required;
Must possess high level interpersonal skills and be an energetic and be a collaborative team player with a “can do” attitude;
Must possess high level analytical skills and an eye for detail that is necessary to evaluate information from multiple data sources;
Ability to identify and resolve problems in a timely manner by gathering, analyzing, and synthesizing information;
Excellent oral and written communication skills required;
Must be very well organized with high level ability to plan, prioritize, multi-task, and take initiative and manage multiple deadlines;
Must have high degree of reliability and follow through;
Must be able to adapt to changes in a fast paced, dynamic, and sometimes intense work environment;
Speaking and reading proficiency in French, Spanish, or Arabic helpful but not required;
