Tetra Tech ARD, headquartered in Burlington, Vermont is accepting applications for an Administrative Specialist to join its Office Administration Unit. The Administrative Specialist provides a range of support services in home office administration, procurement, human resources, and staff training which contribute to the company’s new business and project implementation efforts. The Administrative Specialist is expect to display outstanding interpersonal skills and a willingness to backstop other members of the Administration team as needed.
The position is based in Burlington, Vermont.
Responsibilities
* Cover Front Desk, answer phone calls, ship and receive packages, greet visitors, and assist staff with general inquires;
* Manage staff travel and vacation schedules on Intranet site;
* Assist Human Resources in creating interview and orientation schedules for candidates and new employees;
* Manage administrative onboarding process and staff departure process;
* Facilitate logistics of home office trainings including scheduling conference rooms, sending invites, tracking attendance, setting up the space, etc. as needed;
* Backstop weekly timesheet management in absence of Accounting Specialist; and
* Perform other administrative tasks as needed.
Qualifications
* Minimum of an Associate’s degree, preferably in relevant field;
* Minimum of two years of experience working in an office environment performing administrative tasks;
* Outstanding intercultural communication skills;
* Excellent information management skills, with very strong attention to detail and understanding of requirements;
* Ability to organize work and perform independently while closely and appropriately coordinating with team members;
* Excellent writing and synthesis skills;
* Fluency in a second language is desirable, but not required;
* High proficiency in MS Office applications and database management;
* Self-motivated, with the ability to effectively prioritize and complete tasks in a time-sensitive manner;
* Excellent organizational skills with the ability to work well under pressure and complete multiple tasks concurrently with poise and professionalism;
* Outstanding multitasking and organizational capabilities;
* Must be an energetic, enthusiastic, and positive collaborative team player; and
* U.S. citizenship or a valid U.S. work permit is absolutely mandatory.
