OFFICE ADMINISTRATOR

Tetra Tech ARD, headquartered in Burlington, Vermont is accepting expressions of interest from highly qualified candidates for Office Administrator to join its Arlington, Virginia team. The Office Administrator provides critical support for international development work through coordination, management, and communication functions. This individual is expected to develop a broad understanding of projects that Tetra Tech ARD is tracking and implementing to successfully process communications about them and to offer support to staff members working on these projects. As is true for all members of the administrative support staff, this person is expected to display exemplary interpersonal communication skills, adaptability, professionalism, and a willingness to backstop other members of the team when successful completion of support operations requires a cooperative effort.

This position is full time and based in Arlington, Virginia.

 

Responsibilities

* In coordination with the SVP and Operations Team, manage all aspects of office administration and reception desk function support for the Tetra Tech Courthouse Road office;

* Manage all the administrative, coordination and logistical aspects of office events/meetings for internal and external clients and staff: conference and meeting room bookings; schedule and set up/break down conference rooms; secure relevant technology equipment as required; coordinate catering; and communicate logistics with meeting originator;

* Manage general office administrative duties including: ensure coverage of the reception area at all times during business hours, greet and direct visitors and clients; answer, screen and transfer incoming calls; photocopy, fax, and mail; shipping and receiving; sort and distribute incoming mail and deliveries; receive and relay messages; manage petty cash distribution; track and order office supplies; update travel schedules, and ensuring marketing materials are stocked in the lobby and training center;

* Communicate building, company, and relevant news and information to staff;

* Prepare correspondence and memoranda, as requested;

* Coordinate intercompany cost share activities as appropriate and approved by the SVP and Operations Team;

* Coordinate/submit/track documents for stakeholder visas and document authentications;

* Maintain conference room schedules, resolving scheduling conflicts as necessary;

* Manage the overall appearance and efficiency of office, including scheduling maintenance of office equipment and facilities; artwork and branding; and monitoring overall office appearance;

* Facilitate/schedule new employee orientation as assigned by various operating groups;

* Track and maintain office inventory;

* Monitor visitor access and maintain security awareness, and report any safety hazards and assist in maintaining an office culture of health and safety;

* Manage Monthly and Quarterly All-Hands meeting coordination;

* Stay informed of whereabouts and contact information for all staff out of the office;

* Assist consultants and visitors working in the office, assigning workspace to consultants as well as temporary staff;

* Update office manuals as needed for new employee onboarding;

* Discard/replace office equipment/furniture on an as-needed basis; and

* Provide support to the SVP or Operations Team as assigned on a task by task basis.

 

Qualifications

* Minimum of High School Diploma or GED equivalent: Bachelor’s degree strongly preferred;

* At least 3 years of professional experience in office reception or administrative assistant role;

* Must have experience in managing logistics associated with meeting planning and tech resources;

* Must be extremely dependable, trustworthy, and flexible;

* High level proficiency in MS Office applications required;

* High level proficiency in data entry and database management;

* Very strong interpersonal and communication skills absolutely required, as is exceptional professionalism;

* Must be comfortable working in a fast paced and sometimes intense work environment;

* Ability to comfortably respond to and manage a multiline phone system;

* Competence in basic office business machine operations and office management tasks (faxing, filing, copying);

* Energetic and enthusiastic team member and leader;

* Very strong time management skills, attention to detail, and very oriented toward teamwork; and

* U.S. citizenship or a valid U.S. work permit is mandatory.
